Automated mailing list builder for a subscription-based business

Case Study: Building a hands-free fulfillment workflow for a children’s monthly magazine publisher.

Eco Kids Planet is an award‑winning, ad‑free nature magazine for children, published in print for subscribers in the UK and beyond. Accurate monthly mailing data is critical for smooth print runs and postage.

the problem

Manual list building swallowed 15+ hours every month.

Subscriber data was scattered across multiple systems: one‑off purchases in an e‑commerce platform, recurring subscriptions in another tool, third‑party lists arriving as Excel files, plus a legacy direct‑debit list. All of this had to be pulled into a single master subscriber database before each issue.

New one‑off and gift subscriptions required extra setup steps in the master database, and missing any of these steps meant entire groups of subscribers could be left out of the mailing file.

Every month, the data then had to be cleaned, deduplicated, and formatted to the print house’s exact specification—usually under time pressure. This manual process often took one to two full business days of repetitive spreadsheet work.

Because so many steps relied on human judgement, mistakes were common. A single wrong filter could silently exclude or duplicate subscriber segments, leading to missed issues, extra print and postage costs, and a lot of frustration.

A single automated workflow now builds the mailing list at the click of a button.

1. Unified data intake
Built an automated workflow that pulls subscription data from multiple sources (e‑commerce one‑offs, recurring subscriptions, third‑party Excel files, and legacy direct debit records) into a single source of truth.

2. Automated subscription setup
Detects new one‑off and gift subscriptions and sets them up correctly in the master subscriber database, so they are automatically included in future mailings without extra manual work.

3. Smart data cleaning and rules
Applies consistent business logic every time to filter eligible subscribers, handle pauses and expiries, and flag potential duplicates for review instead of letting them slip through.

4. One‑click mailing file generation
At the click of a button, generates a ready‑to‑send mailing export in the print provider’s required format (columns, file type, encoding), using the latest snapshot of the master database.

5. Quick human review instead of rebuilds
The team now focuses on a short sanity check of counts and flagged edge cases, then approves the file, rather than spending one to two full days rebuilding the list in spreadsheets.

the solution
  • Cut manual mailing‑list work from 15+ hours per month to a quick review step.
  • Significantly reduced address errors, duplicates, and missing subscribers.
  • Delivered a fast return on investment within the first one to two monthly cycles.
